8. Importing, exporting and synchronizing contacts
The Cardiris/IRISCard product line consists of two types of products: Cardiris on the one hand and IRISCard on the other hand.
Cardiris is the software application. IRISCard consists of the software application and an IRISCard scanner. Different scanners are available in combination with IRISCard:
· IRISCard Mini scanner
· IRISCard Pro scanner
· IRIScan 3 scanner
· IRIScan Pro scanner
· IRIScan Anywhere 2 scanner
· IRISCard Anywhere 4 scanner
In the remainder of this ReadMe, the Cardiris software is discussed.
Features which are only available for a specific version will be indicated.
2. Software distribution
The Cardiris software is contained on a CD-ROM or can be downloaded as ESD version (“Electronic Software Delivery”).
Before installing Cardiris make sure your scanner is connected to your PC and the corresponding software is installed. Test your scanner. If you experience any problem, contact your scanner manufacturer.
To install the Cardiris 5 software, insert the auto-running CD-ROM into your CD-ROM drive or run the setup file (.exe) and follow the on-screen instructions.
3. System requirements and supported platforms
This is the minimal system configuration required to use Cardiris:
- A Pentium-class CPU
- 256 MB RAM
- 300 MB free disk space
- Windows 7, Windows Vista (32 or 64 bits) or Windows XP
- Internet Explorer 5.01 or higher
- A free USB port to connect the IRISCard or IRIScan scanner
Note that some scanner drivers may not work under the latest version(s) of Windows. See the documentation supplied with your scanner to find out which platforms are supported.
Important note: to install Cardiris on Windows 8 Consumer Preview, you must enable the .NET Framework 3.5. To do so, go to the Windows Control Panel, choose Programs and Features > Turn Windows features on or off and then select the Microsoft .NET Framework 3.5.1 check box. Note that this operation requires an Internet connection.
Remember to register your software license.
To register run the Registration Wizard on the Register menu and follow the on-screen instructions.
The Cardiris software is supplied with an electronic user guide in various languages.
The electronic user guide can be found on the Cardiris CD-ROM and in the Cardiris installation folder. It can also be downloaded from the Support section (on the Products menu) of the I.R.I.S. website (www.irislink.com).
The online help is available from the application’s user interface by clicking the F1 key on the keyboard or by clicking Help Topics on the Help menu.
Note: running HTML-based online help systems on Windows Vista computers only works when the help file (with file extension .chm) is located on a local hard disk, not on a network drive.
7.1 Back side recognition
Cardiris allows you to recognize the back side of cards using the Recognize button. The information that is extracted from the back side of a card complements the information from the front side, but does not replace it.
7.2 Automatic back side recognition
You can also recognize the back side of cards automatically by selecting the option Recognize back side after front side (in the Settings menu). This way, you only need to click the Recognize button once. The back sides of cards are recognized immediately after the front sides.
7.3 Export to Windows Contacts
With Cardiris you can now export your business cards to Windows Contacts on a Windows Vista or Windows 7 based computer.
This feature creates a contacts file for each business card in your personal Contacts folder.
7.4 Export to Windows Address Book
When you are using Cardiris on a Windows XP based computer, you can export your business cards to Windows Address Book (in Outlook Express).
This feature is only available on Windows XP based computers.
7.5 Export to Apple devices
The export to Apple devices now happens via iTunes and Windows Contacts and/or Windows Address Book. You first export your contacts to one of these two applications, and then configure iTunes to sync with one of the two. The Cardiris contacts will be added to the Contacts app on your Apple device.
7.6 Export to Google Contacts
With Cardiris you can now export your business cards to Google Contacts. This is the Contacts section in your gmail account.
7.7 Export to Salesforce CRM
Cardiris now allows you to export business cards to Salesforce CRM. Note that an Enterprise, Unlimited or Developer Salesforce account is needed to be able to configure the export.
7.8 Google Maps support
The driving instructions you get to the address of your contacts Cardiris are now supplied by Google Maps.
8. Importing, exporting and synchronizing contacts
Cardiris is a comprehensive database solution. It allows you to import contacts from other databases, export contacts to a wide range of applications and in different file formats and allows you to synchronize your Cardiris database with other contact databases.
To import, export or synchronize contacts, click the Export button on the main toolbar. A list of supported import, export and synchronization filters will appear. The various filters are discussed below.
Business card images (*.jpg, *.tif)
Google Contacts
Innomatix InfoContacts II – InfoBusiness
Salesforce CRM
Text (*.cvs) (comma-separated values)
Windows Contacts
Business card images (*jpg, *.tif)
Import
Not supported.
Tip: you can import existing card image files with the command Load Card Images on the File menu.
Export (Pro and Corporate version)
When you select Business card images as export filter, you do not export the contacts or the address data, but only the scanned images of the business cards.
Tip: the export filter E-mail allows you to place the scanned images (as attachments) directly in a new e-mail message.
Configuration options
Click the Configure button to access the configuration options.
When exporting business card images, you can select the target folder with the Browse button and pick the graphic format (TIFF or JPEG) you want to store your images in.
Synchronize
Not applicable.
You can synchronize databases but not scanned images.
Import
You cannot open databases from earlier versions of Cardiris (3.x or 4.x) directly, but you can import their contacts into an empty database. That’s how you migrate databases from earlier Cardiris versions.
Simply select Cardiris 3.x or 4.x and click the Import button.
Cardiris 3.x card databases have the file extension *.dat. and Cardiris 4.x card databases have the file extension *.cid.
The import is fully automatic; you don’t have to set any option, hence the disabled Configure button.
Export
Not supported.
Why would you save your contacts in Cardiris 3.x or 4.x when you have version 5?
Synchronize
Not supported.
Import
Importing the contacts of another database into the current database is a way of merging two databases. (Cardiris 5 databases have the file extension *.c5d.)
You can also open both databases and drag all contacts from one database to the other. Enable the album view and use the command Select All or press Ctrl+A to select all cards.
Click the Import button to import contacts from Cardiris. The import is fully automatic; you don’t have to set any option, hence the disabled Configure button.
Export
Exporting your database to another database is a way of duplicating your database.
Tip: you can also use the command Save As on the File menu to duplicate a database.
Tip: you can also use Windows Explorer to duplicate a database. Copy the database file (*.c5d) to another location - say, a network drive - to create a backup of your card database manually. Any data - text or image - is stored inside that single file.

You can only import contact data, not e-mail messages.
Export
When you choose the export filter E-mail, Cardiris creates a new mail message and inserts a vCard file that contains all the contacts as mail attachment.
All MAPI mail clients - Outlook, Outlook Express, Eudora etc. - are supported.
Configuration options
Click the Configure button to access the configuration options.
You can export the contact as vCard files and as images. vCard files contain the contact data – and optionally the card image (that is when you enable the option Include Card Images). Images can be stored as JPEG and TIFF files but of course do not contain the contact data.
Warning: vCard files can only include a single image. Cardiris, on the other hand, can store 3 images per business card: the front side of the business card, the back side and a picture of your contact. When a picture of your contact is available for a specific card, that image will be included in the vCard files. When no picture is available, the front image will be included. If there is no front image, the back image will be included. (This does not apply to the Mini version).
Warning: do not include the card image when you want to import the contacts into Microsoft Outlook. This slows down the export process considerably and Outlook is not able to display the image anyway.
You can create a single vCard file that contains all exported data and you can create separate vCard attachments that all contain a single contact.
When you limit the export to card images, you select the JPEG or TIFF format.
Furthermore, you can indicate the maximum size of an e-mail message. When your e-mail system limits the file size of a mail message, you can inform Cardiris of that limit. If necessary, Cardiris will segment the contact data to be sent via e-mail in several mail messages so that the size limit gets circumvented.

When exporting contacts to FrontRange Goldmine you can indicate the target image folder by means of the Browse button. The contacts data will be saved directly inside the Goldmine database.
You can also include the card images during export. Note, however, that FrontRange Goldmine does not store images inside the contact database. It only stores a link to the external image. As a result, the target image folder you select is final. If you move the images outside the folder, the links to the images inside GoldMine will be broken.

The option Include card image includes all available images in Cardiris. Both the front and back side images as well as contact pictures will be included.
Cardiris offers two standard layout templates: you can generate HTML files that look like a phone list or like a table.
You can also customize the HTML output using a XSL layout file. When you select the layout option Custom, a sample XSL file named SAMPLE.XSL becomes active. Click the Browse button to select your own XSL file.
The XSL file is the “style sheet” of your HTML output; it defines how the data will be displayed on-screen with your web browser. You may for instance even “hide” certain fields by not displaying them.
The file SAMPLE.XSL is supplied - you’ll find it in the Cardiris installation folder - as a comprehensive example. The layout is actually virtually the same as the standard, non-editable layout Phone list. Don’t hesitate to edit the XSL file.
Cardiris also allows you to open the HTML output immediately after export. Select the target application in the Send to list.

Microsoft Dynamics CRM (Corporate version)
Cardiris Corporate for CRMs allows you to exchange data with Microsoft Dynamics CRM 3.0, Microsoft Dynamics crm 4.0, Microsoft Dynamic CRM 2011 Server and Microsoft Dynamics CRM Online. Note that the standard version of Cardiris does not support Microsoft’s professional CRM (“customer relations management”) software Dynamics.
Cardiris does not increase the system requirements of Microsoft Dynamics CRM. If your PC is powerful enough to run Dynamics CRM, rest assured that Cardiris Corporate for CRMs will run without glitches.
Important note: in order for Microsoft Dynamics CRM to interact successfully with Cardiris and vice versa, Cardiris Corporate for CRMs must be set up correctly. This is up to the CRM administrators, as Cardiris users do not have the required rights.
CRM administrators need to:
- Configure the Cardiris CRM connector on one machine and deploy the CRM configuration on all Cardiris client computers;
- Set up relevant privileges for Cardiris users on the CRM server.
To learn how to do so, refer to the Administrator Guide on how to configure Cardiris Corporate for CRMs in the Cardiris installation folder\Doc\Eng.
Import
Before you can import data from Microsoft Dynamics the import must be configured by a CRM administrator.
Once the configuration is completed, you can import data from Dynamics into Cardiris. Note that Microsoft Dynamics does not store images. As a result, no images will be imported into Cardiris.
Export
Before you can export contacts to Microsoft Dynamics, the export must be configured by a CRM administrator.
Once the configuration is completed, all Cardiris data can be transferred to Microsoft Dynamics with the exception of the Skype field - Dynamics does not support this phone field.
Note that unrecognized contacts that only contain a contact’s image are not exported to Dynamics. Contacts of which the name is missing do get exported, but are stored under the name Unspecified.
The three images (front, back and picture) are stored in Dynamics as annotations. Double-click the images to open them.
Cardiris uses the default settings of Microsoft Dynamics CRM to export contacts. Note, however, that CRM administrators can full customize the export.

Novell GroupWise
Import
You can import any address book - personal address books, system and LDAP address books - into Cardiris.
Export
You can export your contacts to personal address books. You cannot export to system and LDAP address books.
This phenomenon is not caused by Cardiris but by the GroupWise software that blocks access to the system and LDAP address books for security reasons. (These “system-wide” address books contain all mandatory addresses, for instance all company employees, as they are entered by the GroupWise system administrator. If any user, not just the system administrator, had the right to add, modify and delete contacts, the system coherence would inevitably break down.
Synchronize
You can synchronize a Cardiris database with personal address books. You cannot synchronize with system and LDAP address books.
Again, this phenomenon is not caused by Cardiris but by the GroupWise software that blocks access to the system and LDAP address books for security reasons.
Cardiris users can exchange contacts with their Palm handheld indirectly - via the PC software Palm Desktop.

Salesforce CRM (Corporate version)
Cardiris Corporate for CRMs allows you to exchange data with Salesforce CRM web services.
Important note: in order for Salesforce CRM to interact successfully with Cardiris and vice versa, Cardiris Corporate for CRMs must be set up correctly. This is up to the CRM administrators, as Cardiris users do not have the required rights.
CRM administrators need to:
- have administrator rights to an Enterprise, Unlimited or Developer Salesforce CRM;
- configure the Cardiris CRM connector
- grant Cardiris users who need to export to Salesforce CRM the necessary access rights to the Salesforce API.
To learn how to do so, refer to the administrator guide How to configure Cardiris Corporate for CRMs in the Cardiris installation folder\Doc\Eng.

Export
Before you can export contacts to Microsoft Dynamics, the export must be configured by a CRM administrator.
Note that the formatting of the Cardiris contacts must be in line with Salesforce CRM’s policy. Contacts must have last name, for instance, and e-mail addresses must always contain the @ sign.
Users who want to export to Salesforce CRM must also be granted access to the Salesforce API by the CRM administrator.

You can choose to include card images in export when exporting contacts to a vCard file.
Warning: do not include the card image when you want to import the contacts into Microsoft Outlook. It only slows down the export process considerably and Outlook isn’t able to display the image anyway.
Warning: vCard files can only include a single image. Cardiris on the other hand can store 3 images per business card (this does not apply to the Mini version) – the scanned front and back sides of the business card and a photo. When a photo is available for a specific card, that image gets included in the vCard files. When no picture is available, the front image gets included. The back side never gets exported.
You can also export several contacts by creating many vCard files that each contain a single contact. To do so, select the option Create one file per contact.
Example 1: you export 3 contacts. The vCard file that contains contact 1 is sent to your colleague Joe, the file that holds contact 2 to your aunt Ginny who’s looking for a new gardener etc.
Example 2: I have to transmit some 20 contacts from a seminar I visited to 4 colleagues. I export these 20 contacts to a single vCard file and hand over that same file to each colleague.
Warning: use separate files that each contain a single contact when you want to import the contacts into Microsoft Outlook. Outlook only imports vCard files that contain a single contact.
The card status - new, indexed, verified - is included in vCard exports as well. That’s convenient when you export contacts from one Cardiris database and import them in another.

You can synchronize databases but not vCard files: vCard files are separate files that contain one or more contacts.

Synchronize
It takes the software Microsoft ActiveSync to synchronize your Cardiris database with the address book stored on your Windows Mobile (Pocket PC) device.
Due to a bug in the Microsoft ActiveSync software, it takes a manual step in a number of cases to ensure the correct transfer of data. This phenomenon may occur when you’ve reinstalled the Windows software and when you’ve installed the ActiveSync software on another PC.
The ActiveSync software indicates the progress and state of the synchronization with a color button: green indicates the “ready” state, yellow that there are data to be synchronized or that data are being transferred.
However, in some cases, the ActiveSync software remains blocked on the yellow transfer mode for too long when you synchronize with the Cardiris database.
To solve this problem, you must manually erase the file BUFFER.IO (located in the folder Program Files\Cardiris) from your Windows Mobile (Pocket PC) handheld computer before you try again. You can do this from your PC or with the Explorer application on your Windows Mobile device.
Import
Not applicable.
You can only import contact data, not XML files that may contain all kinds of information.
Export
All text is encoded as UTF-8, a Unicode-based format which allows us to cope with all countries and languages.
The XML output uses an XML schema.
Look for a file named contacts.xsd. (“XSD” stands for XML Schema Definition”.) This file determines the structure of an XML file. It defines the legal building blocks of XML files: which elements can appear in an XML document? In which order can these elements appear? etc. Disposing of an XML schema makes it easier to develop a custom routine that imports the contacts of the Cardiris XML files in a database.
Export configuration
When exporting XML files, you can exclude the card images from export, attach the card images (front, back and picture) in external files and insert the card images using a base 64 encoding.
Note that including images inside the XML output file is slower than linking external images.
Tip: XML files can be displayed with your web browser such as Microsoft Internet Explorer.
Tip: use Apache Xerces (or any other XML parser) to edit and “parse” the XML files.
Synchronize
Not applicable.
You can synchronize databases but not XML files: XML files are separate files that may contain all kinds of information.
